                Varying the Tone to Suit the Business Reader


                Introduction


                IMAGINE that you are the Administration Manager of a large insurance company. One day you receive the following memo from one of your clerks:






                'For personal reasons, I have to change the dates of my holidays. I want to see you today in order to discuss this matter.'


                HOW do you think you would feel reading this from one of your subordinates? What do you think you might do? (You might feel surprised by the directness and lack of respect. You would probably be unlikely to arrange an appointment for the clerk today.)


                NOW imagine that you are a departmental secretary at the same company. The following memo from the Managing Director is waiting on your desk when you arrive for work at the beginning of the week.






                'My personal assistant has fallen ill and will be away from work for the next three months. I would be extremely grateful if you could possibly deputise for her during this period.’


                WHAT do you think your reaction would be on receiving this request? (you would probably be very surprised that you have been given so much respect and perhaps even a chance to refuse the MD’s request.



                IN both cases, there is no problem with the messages. Your surprise would result from their ‘Tone’. As Administration Manager your surprise might turn to anger. As the departmental secretary, your surprise might soon change to suspicion and doubt. The message here is to identify your readership carefully and word your memos appropriately.



                Varying the Tone of Requests


                CHRIS Wang is Personnel Supervisor in the Human Resources Department of a large local company. Chris is currently studying the case of Paul Yeo, an employee who he feels might be a suitable candidate for promotion. He decides to ask the opinion by memo of other members of the Human Resources Department.


                Look at the different ways of requesting comments below:







                1. Please comment on the suitability of Paul Yeo for promotion.
                2. I await your comments on the suitability of Paul Yeo for promotion.
                3. I would like you to comment on the suitability of Paul Yeo for promotion.
